FanCRM Field Definitions & Guardrails

This guide is a reference glossary of FanCRM fields and filters.

Use this guide when you already know what kind of audience you're building and need a quick explanation of what a specific field does and how to use it safely.

Important Notes Before you Start

  • FanCRM filters are designed to be layered. Most powerful audiences use multiple sections together
  • Some fields rely on integrations (ticketing, POS, messaging). If data isn't connected, results may be empty
  • Some filters have constraints or caveats. These are called out clearly below to avoid confusion.

GENERAL

Locations

Countries/States/Provinces/Cities/Metro Areas/Postal Codes
Find fans located within specific geographic boundaries.
  • Advice: Use the simplest location filter that meets your goal. Overly narrow geography can unintentionally shrink audiences.

Latitude/Longitude
Find fans at specific coordinates

  • Advice: Typically, only used when precise location targeting is required

Additional Radius (KM)
Adds a radius around a single postal code or latitude/longitude.

Important constraint for radius: Radius targeting can only be applied to ONE location at a time. If you need multiple radii, build separate audiences.


Fan Metrics 

Created Between
Find fans created in the FanCRM between specific dates.

  • Advice: Use this to identify new fans, not engagement. Pair with behaviour filters for context.

Minimum Fan Rating
Find fans at or above a defined fan rating

  • How it works: Ratings are calculated based on a fan's activity level, social connectivity, and purchase history. 5-star fans are your most loyal and engaged, while 1-star fans are typically new or unengaged.

  • Advice: Fan Rating works best when combined with behaviour (campaigns, purchases).


Gender
Find fans matching a specific gender

Note: If gender is not specifically provided by the fan, the FanCRM may predict gender using machine learning, based on their first name

  • Advice: Be cautious when using gender for reporting or sponsor audiences

Networks
Find fans with an external system identifier/social authentication network (e.g. Ticketmaster)

  • Advice: Use this to confirm integration coverage or target known-ticketing fans.

Fan Source
Find fans based on how they were created in FanCRM (e.g. campaign, integration).

  • Advice: Fan source describes origin, not ongoing engagement.

Min/Max Age 
Find fans with a defined age range 

  • Advice: Age filters depend on available birthdate data and may reduce audience size. Make age/birthdate collection a regular part of your engagement flow if you want to report on age.

Note: Tradable Bits will not store the information of fans under the age of 13.


Limit Values Positive/Negative
Find fans who have or do not have a specific value present (i.e. email_subscribed = true)

  • Advice: Commonly used for messaging consent, subscriptions or eligibility checks.


Snapshots & Tags

Inclusion Snapshots 
Include all fans from a saved snapshot


Exclusion Snapshots 
Exclude all fans from a saved snapshot

  • Advice: Snapshots represent a fixed moment in time. Use them for consistency or exclusions.

Tags
Find fans with a specific tag applied

Add Related Tags 
Includes fans with related or grouped tags

  • Advice: Tags are flexible and evolve over time. Great for categorization and quick filtering.


CAMPAIGN ACTIVITY

Businesses

Businesses Interacted With
Find fans who engage with specific businesses.

Participation

Days Recently Active 
Find fans who engaged with a campaign in the last X days.

  • Advice: Best for rolling re-engagement windows

Days Recently Inactive 
Find fans who have not engaged with a campaign in the last X days.

  • Advice: Use for lapsed or win-back audiences.

Active Within
Find fans active between fixed dates.

  • Advice: Best for reporting or campaign-specific analysis

 

Campaigns  

Campaigns Participated In 
Find fans who engage with specific campaigns.


Campaign Label
Find fans who engaged with campaigns sharing a specific label.

  • Advice: Labels are powerful for grouping similar campaigns (e.g. sponsored contests, specific initiatives, etc). 


Search Winners Only
Limits results to fans who have won a prize.


Date of Win
Find fans selected as winners within a date range.


Campaign Specific Custom Field (Key/Value)
Find fans who submitted a value in a campaign custom field.

  • Advice: Useful for preference capture and segmentation.


POINT PRESENCE

Awards 

Fan Point Categories
Find fans based on the fan point categories they've entered


Date Range
Find fans who entered fan points-based campaigns within a date range. 


Min/Max Points
Find fans whose number of fan points is within a defined range. 


PURCHASES

What are Regular Expressions (Regex)? Regular Expressions are special strings of text used to create advanced search patterns (e.g., finding multiple variations of an event name at once). For a detailed "RegExp" guide, click here.

Pro-Tip: You do not need to use Regular Expressions for standard searches; simple partial names or words will work for most use cases.

Purchase fields require ticketing or POS integrations

Purchase Fields

Event Name/ Venue Name/Artist Name/Ticket Type/Price Code/Product Name
Find fans based on ticket or product attributes. Supports partial matching and regular expressions.


Venue Location
Find fans with tickets for events in specific states or provinces.


Payment Plans Toggle
Limits results to fans who purchased using a payment plan.


Purchase Limits

Min/Max Quantity
Find fans based on the number of tickets purchased.


Sales Count Min/Max
Finds fans based on the number of purchase transactions.


Purchase Price Min/Max
Finds fans based on a single transaction value.


Sales Amount Min/Max
Finds fans based on total spend.

Purchased Within
Filters by transaction date.


Event Within
Filters by event date.

  • Advice: This distinction is important for seasons and tours.

Purchased In Last
Find fans who purchased within the last X days.

Negative Purchase

Negate Query
Inverts purchase logic (i.e. fans who did not purchase)

Cancelled or Refunded Tickets Only
Find fans with cancelled or refunded tickets

  • Advice: Useful for churn analysis and win-back campaigns. 

 

POS/Merch

Product Name/Category
Find fans who purchased specific merchandise.

Purchased Within
Filter purchases by date.


TRACKERS

Tracker Network/Event Date/Key/Group
Find fans who interacted with tracking events.

  • Advice: Trackers connect off-platform behaviour (email clicks, conversions) back to fan profiles.

CART ABANDONERS 

Note: Only supported for Front Gate Ticket clients.

Abandoned Within
Filter cart abandons by date.

Abandoned Host Name (Regular Expression)
Filter by individual abandoner host names (sources)

Registration Fields 

Used primarily for festivals and wristband-based events

  • Advice: May not apply to all partners

Event Name (Regular Expression)
Filter by fans who registered for a specific event


Venue Name (Regular Expression)
Filter by fans who registered for any event at a specific venue.


Registration Period 

Registered Within (Regular Expression)
Filter by fans who registered for any event within a defined time period

Event Within (Regular Expression)
Filter by fans who registered for any event that will take place within a defined time period


ATTENDEES

Scans

Scan Group/Zone/Event Name/Scan Date Range
Find fans who scanned into events or zones.

  • Advice: Best used for post-event follow-ups and attendance analysis.


AFFINITY

Idols

Idols
Find fans with an affinity for specific artists or performers

Label/Add Related Idols
Expands affinity using related artist data.

  • Advice: Strong signal for music and touring campaigns.


GLOBAL CUSTOM FIELDS 

Global Form Field Search
Find fans with a specific value in a global form field.


MESSAGING

Email Messaging

Email Batch/Rule/Send Date/Converted from Email Message
Find fans based on email delivery and conversion.

Email Batch
Filter by fans who were recipients of a specific batch email campaign


Send Date
Filter by SMS campaigns sent within a defined time period

SMS Messaging

SMS Campaign
Filter by fans that participated in a selected SMS Campaign

Send Date
Filter by SMS campaigns sent within a defined time period
